Proof & Approve — Privacy Policy
Last updated: September 10, 2026
Proof & Approve is a Wix app that lets businesses send a design to a client for review through a private link, collect pinned comments, and record the client's approval. This policy describes exactly what data the app touches, where it lives, and how to make it disappear.
Where your data lives
The app runs entirely on Wix's infrastructure. We operate no servers and no databases of our own. Proofs, versions and comments are stored in collections inside the site owner's own Wix CMS, and every design image is stored directly in the site owner's Wix Media Manager, inside a "Proof & Approve" folder. Nothing passes through or rests on any system we control.
What the app processes
- Proofs: a title, an optional note and reply-by date, an optional client name and email address, an optional password, an optional reference to a Wix Stores order line (order number and item name), and a share token.
- Design versions: the images the site owner uploads for review, with their file name and pixel size. Stored only in the site owner's Media Manager.
- Client feedback: the comments a client leaves (text and position on the design), a general note, and, on approval, the name the client typed and the time of approval.
- The proof page address: the public URL of the page hosting the widget, detected once so share links can be built automatically. It is visible and editable in the dashboard.
What we do not do
- We do not sell or share data with third parties.
- We do not use data for advertising or profiling.
- We do not send email on anyone's behalf — the "Email client" button only opens the site owner's own mail app.
- We do not collect payment details — billing is handled by Wix.
- We do not copy files anywhere; they stay in the site's Media Manager and are served by Wix's media platform.
Deleting data
Deleting a proof in the dashboard permanently deletes the proof record, its version records, comments and approval record. Design images are never deleted by the app — they remain in the site's Media Manager under the site owner's full control. Uninstalling the app removes the app's collections according to Wix's standard app-data lifecycle.
